Payroll

Annual Leave

  • Applications must be submitted prior to the start of annual leave to enable supervisors to arrange the roster.
  • Fill in the Leave form as requested and indicate whether payment in advance is required.
  • Applicant must sign and date the form.
  • Approval by supervisor or manager according to the Award provisions. Before the approval, supervisors or managers should check that there is enough entitlement to cover the leave period.
  • Submit the application to the payroll officer.
  • If indicating payment in advance, applicant must inform the payroll officer before the start of leave to enable preparation of payment.

Family Leave (Use of Sick Leave)

  • Conditions of using sick leave (Refer The Award provision – Clause 20.1)
  • Fill in the Sick/Family/Other Leave form on returning to work and indicate the total hours lost.
  • Applicant must sign and date the form.
  • Approval by supervisor or manager according to the Award provisions. Before the approval, supervisor or manager should check that there is enough entitlement to cover the leave period. If sick leave entitlement has run out, applicant cannot use annual leave entitlement as a replacement.
  • Submit the application form to the payroll officer before Wednesday afternoon of the pay week.

Injury Report

An employee suffering from a work related injury or disease should:

  • Notify the Manager or Supervisor about the injury immediately.
  • Obtain an Employee's Compensation Claim form from the Payroll Officer and answer all relevant questions on the form.
  • Get a witness to complete the Statement of Witness to an Injury form.
  • See a medical practitioner and if time off work is needed, request a WorkCover Medical Certificate.
  • Send all the documents to Payroll Officer.

Sick Leave

  • Applicants should inform receptionist, supervisor or manager within 2 hours of the commencement of such absence of an inability to attend work, indicating the nature of illness or injury and the estimated duration of the absence.
  • Fill in the Sick Leave form on returning to work and indicate the total hours lost.
  • Indicate whether a doctor's certificate is attached. Under the Award provisions, an employee shall not be entitled to paid sick leave on more than three separate occasions for either single day or two days absences in any one sick leave year unless a doctor's certificate is provided.
  • Applicant must sign and date the form.

Time Sheets

A casual employee should:

  • Fill in a Time Sheet for the working period before payroll processing each fortnight.
  • Fill in the Name, Week Commencing Date and Start Time, Lunch Break, Finish Time and Total Hours worked for each working day.
  • Sign and date the sheet
  • Get the Manager or Supervisor to check the working time and fill in the Employing Department, Total Hours Worked for Week and Rate of Pay.
  • Get Manager or Supervisor to sign and date the Time Sheet.
  • Submit the Sheet to the payroll officer before Wednesday afternoon of the pay week.

Employment Procedures & Checklist

Sydney Markets Limited had a visit from the Department of Immigration and Multicultural Affairs with regard to a guide on work rights. They are clamping down on illegal workers and we need to know the rules that relate in determining whether a worker is bona fide or not.

The following documents can be accepted as evidence of right to work when selecting new employees and casuals.

  • Australian birth certificate (if born before 20-Aug-1986)
  • Certificate of Australian citizenship
  • Australian or New Zealand passport
  • Evidence of permanent residence status
  • Temporary visa with entitlement to work

The following documents alone are NOT proof of right to work:

  • Tax file number
  • Driver's license
  • Medicare card
  • Bank account
  • Referrals from employment agencies or labour suppliers

For SML's protection, we recommend that before an offer is made to an employee, all documents are checked and verified. When an offer is made, photocopy the necessary documents and attach to the contract for our file.
